Aurelius Automation LLC ("Aurelius," "we," "us," or "our") provides software and communication tools to landlords and property managers ("Landlord Customers"). This Privacy Policy describes how we collect, use, disclose, and retain personal information in connection with our services (the "Service").
1. Role of the Parties
Aurelius acts as a service provider / processor on behalf of Landlord Customers, who are the data controllers of tenant and lead information. We process personal information only in accordance with our agreements with Landlord Customers. Our data processing obligations are further described in our agreements with Landlord Customers.
2. Information We Collect
We may collect the following categories of information:
- Account Information: Name, email, phone number, business details.
- Tenancy Information: Lease agreements, payment records, notices, communications.
- Lead Information: Names, contact details, and inquiry messages from prospective tenants.
- SMS Data: Phone numbers, message content, timestamps, opt-in and opt-out records.
- Usage Data: Log data, device information, and interactions with the Service.
3. How We Use Information
We use personal information to:
- Provide and operate the Service.
- Facilitate communication between Landlord Customers and tenants or leads.
- Maintain compliance with legal and regulatory requirements.
- Improve and secure the Service.
We do not sell personal information.
4. Disclosure of Information
We may disclose personal information:
- To Landlord Customers who control the data.
- To service providers who process information on our behalf under contractual confidentiality obligations.
- To comply with legal obligations or lawful requests.
- In connection with a business transfer.
Service Providers (Sub-Processors)
We use the following third-party service providers to operate the Service. Each operates under contractual confidentiality and data protection obligations:
- Supabase · Database hosting (PostgreSQL).
- Railway · Application hosting and deployment.
- Cloudflare · DNS, email routing, and content delivery.
- Upstash · Queue and caching infrastructure (Redis).
- Anthropic · AI services for lead qualification and natural language processing.
- Twilio · SMS message delivery and A2P 10DLC compliance.
- Stripe · Payment processing on behalf of Landlord Customers.
- Clerk · User authentication.
- Resend · Transactional email delivery.
We update this list as our service providers change. The most current list is reflected in the most recent version of this Privacy Policy.
5. SMS Communications
We facilitate SMS messaging on behalf of Landlord Customers. Individuals who provide their phone number to a Landlord Customer may receive text messages related to:
- Property inquiries and leasing information.
- Appointment scheduling and reminders.
- Tenancy updates and notifications.
- Account-related communications.
Message Frequency: Message frequency may vary depending on user interaction and the services requested.
Opt-Out Instructions: You may opt out of SMS communications at any time by replying STOP to any message. After opting out, you will no longer receive SMS messages unless you re-enroll.
Help Instructions: For assistance, reply HELP to any message or contact us using the information provided below.
Fees: Message and data rates may apply depending on your mobile carrier and plan.

6. Data Retention
We retain personal information only as long as necessary to provide the Service and to comply with applicable legal, regulatory, and contractual obligations. Unless otherwise required by law, we apply the following retention periods:
- Account Information: Retained for the duration of the account relationship and for 7 years after account closure.
- Tenancy Records (including leases, payment history, notices): Retained for the duration of the tenancy and for 7 years after termination, with certain contractual records retained for up to 10 years.
- Security Deposit Records: Retained for 5–7 years after the end of the tenancy.
- Eviction and Dispute Records: Retained for 7 years after final resolution.

SMS Communications Data:
- Consent (Opt-In) Records: retained for 7 years after last communication.
- Opt-Out Records: retained for 7 years after request.
- Message Logs / Metadata: retained for 2–5 years, unless required longer for compliance or dispute resolution.
- Lead Inquiry Records (Prospective Tenants): Retained for up to 24 months after last interaction, unless converted into a tenancy or account relationship.
Deletion and Anonymization
Upon expiration of the applicable retention period, personal information is securely deleted or anonymized, unless retention is required for legal, regulatory, audit, or dispute resolution purposes.
Legal Holds
We may retain information beyond the stated periods where necessary to comply with legal obligations, respond to lawful requests, or preserve evidence in connection with litigation, investigations, or audits.
7. Data Security
We implement reasonable administrative, technical, and physical safeguards designed to protect personal information.
8. Your Rights
Individuals should direct privacy requests (including access, correction, or deletion requests) to the relevant Landlord Customer, who controls the data. We will assist Landlord Customers in responding to such requests as required.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Updates will be posted with a revised effective date.
